Welcome and thank you for choosing Photography By Ahm.

Photography is more than creating beautiful images—it is about documenting authentic moments, preserving stories, and delivering visual content that creates value for athletes, organizations, brands, and audiences.

This Client Agreement outlines the professional relationship between Photography By Ahm and its clients. It explains the services provided, licensing, payment terms, copyright, responsibilities, and mutual expectations to ensure every assignment is completed professionally and transparently. By accepting a quotation, confirming a booking, or engaging Photography By Ahm for any assignment, the client accepts the terms contained within this agreement.

1. About Photography By Ahm Photography By Ahm specializes in:

International/National Sports Photography - Cycling Events - Endurance Sports - Editorial Photography - Commercial Sports Campaigns - Documentary Storytelling - Corporate Photography - Humanitarian and Non-Profit Photography

The mission is simple:

To tell authentic stories through powerful photography. Every assignment is approached with professionalism, integrity, respect, and attention to detail.

2. Booking & Confirmation

A booking becomes confirmed once a quotation has been accepted and / or required deposit has been paid (where applicable) and Assignment dates have been reserved.

Photography By Ahm reserves the right to decline assignments that conflict with existing bookings or professional ethics

3. Scope of Work

The agreed quotation defines: Assignment location, Date(s), working hours, deliverables, editing, delivery format - Any work requested outside the agreed scope may incur additional charges

4. Pricing

All quotations are valid for 30 days unless otherwise stated. Prices include only the services specifically listed in the quotation.

Additional costs may include: Travel, Accommodation, Parking, Ferry or flight tickets, Accreditation fees, Special permits, Equipment rental, These expenses will always be agreed in advance

5. Payment Terms Business Clients

Existing clients: Net 8 days

New clients: 50% deposit

Payment Private Clients

50% payment before assignment and rest when assignment delivery

Projects exceeding DKK 20.000 50% before production and 50% upon delivery

Late payments may incur reminder fees and extra interests

6. Copyright

Photography By Ahm retains full copyright ownership of every photograph. Copyright is never transferred unless agreed in writing. The client purchases usage rights—not ownership.

7. Image Licensing Licenses may include:

Editorial Use, Corporate Use, Commercial Advertising, Internal Communication, Social Media, Press Releases, Website Usage, • Print Marketing, Large commercial campaigns require separate licensing.

8. Editorial vs Commercial Usage Editorial use includes: Newspapers magazines, Blogs, Sports coverage, Journalism

Commercial use, includes: Advertising, Paid campaigns, Product marketing, Sponsorship promotion, Packaging, Brand advertising Editorial licences do not automatically include commercial rights

9. Sports Event Accreditation

• Many international sporting events operate under strict accreditation agreements. Photography By Ahm complies fully with organizer regulations.

Restrictions may include: Commercial sales, Sponsor usage, Advertising, Distribution. Clients acknowledge that accreditation rules always take precedence.

10. Athlete & Image Rights

Photography By Ahm cannot guarantee commercial image rights where athlete contracts or sponsorship agreements apply. The client is responsible for obtaining any necessary commercial permissions.

11. RAW Files

RAW images remain the property of Photography By Ahm. Delivery of RAW files is not included. Where requested, RAW files may be purchased under a separate Buy-Out Agreement. Purchase of RAW files does not transfer copyright ownership.

12. Editing

Photography By Ahm delivers professionally edited photographs reflecting the company's artistic style. Additional editing beyond the agreed delivery may incur additional charges.

13. Artificial Intelligence

Clients may not use delivered photographs to train Artificial Intelligence systems, machine learning models, image generators, facial recognition databases, or similar technologies without written permission. Likewise, images may not be substantially altered using AI software in ways that misrepresent events, athletes, sponsors, or organizations without prior approval.

14. Image Integrity

Photography By Ahm believes in authentic storytelling. Photographs may not be manipulated to create misleading or false representations. Cropping and minor adjustments for layout are acceptable.

15. Credit

Whenever practical, image credit should appear as: Photography By Ahmor © Photography By Ahm

16. Delivery

Delivery schedules vary according to assignment. Typical delivery: • Sports Events / 24– 48 hours • Editorial Assignments / 2–4 working days • Commercial Projects / As agreed.

17. Archive

Edited photographs are normally archived for a minimum of two years. Photography By Ahm cannot guarantee permanent storage. Clients are encouraged to maintain their own backups.

18. Cancellation

• 30+ days before assignment: Deposit refunded.

• Less than 30 days: 25% deposit may be retained.

• Less than 15 days: 50% deposit may be retained

• Less that 7 days: 100% deposit may be retained

• If production has begun, completed work will be invoiced.

19. Force Majeure

Photography By Ahm shall not be liable for delays or non-performance caused by circumstances beyond reasonable control, including: Severe weather, Government restrictions, Strikes, Pandemics Natural disasters, Equipment theft, Transport disruption, Event cancellation

20. Travel

Travel outside the local area may include: Mileage, Flights, Hotels, Meals, Parking, Tolls Visa costs. These expenses will always be agreed before travel.

21. Confidentiality

Photography By Ahm respects confidential assignments. Client information will never be shared without permission unless required by law.

22. Privacy & GDPR

Photography By Ahm processes personal information in accordance with applicable data protection laws, including the General Data Protection Regulation (GDPR). Personal data is used solely for the administration of bookings, invoicing, communication, and delivery of services. Personal information is never sold or shared with third parties except where required to fulfil the assignment or comply with legal obligations.

23. Portfolio Use Unless otherwise agreed in writing, Photography By Ahm reserves the right to use selected photographs for:

Portfolio, Website, Social Media, Photography Competitions, Exhibitions, Marketing

Clients requiring complete confidentiality must request this before the assignment.

24. Governing Law

This Agreement shall be governed by the laws of Denmark. Any dispute shall first be addressed through good-faith negotiation. If no resolution can be reached, disputes shall be submitted to the competent Danish courts.
